Important information for presenters
Please note that presenters who have not completed their registration by 31 May 2026 may lose their allocated time slot and will not be included in the final programme.
Exceptions will only be considered in clearly documented individual cases, such as: a visa appointment scheduled between 31 May 2026 and the start of the conference, or confirmed third-party funding that becomes available only after 31 May 2026.
Student registration
Students are required to provide proof of student status in order to qualify for the reduced registration fee.
Events and registration
The conference programme will include a welcome reception on the evening of 5 July, a cultural event on the evening of 7 July, and a sightseeing activity in Ghent on the afternoon of 8 July. Participation in these events is included in the registration fee; however, advance registration is required.
Further details on the events will be provided in due course.
Cancellation and refund policy
All cancellations must be submitted in writing to the Organising Committee at easaa@ugent.be. The date of receipt of the written notification will be considered the effective cancellation date.
- Until 30 April 2026: Full refund, minus a €20 administrative fee
- 1–31 May 2026: 50% refund
- From 1 June 2026 onwards: No refunds
No refunds will be issued for non-attendance without prior cancellation.
Presenter withdrawals after 31 May 2026 are not eligible for a refund and will result in removal from the conference programme.
Participant substitutions are permitted at no additional cost until 20 June 2026, provided they are within the same registration category.
